Privacy Policy

We ("Faciligo," "we," "us") operate a live facilitator-led training platform. This policy explains what data we collect, why, and the choices you have about it.

1. What we collect

Account & org data you give us directly:

  • Name, email address, and password (stored as a salted hash, never in plain text).
  • Organization name and branding assets you upload (logo, brand color).
  • Content you create: topics, units, quizzes, questions, and feedback forms.

Data generated by using the product:

  • Live session activity: who joined, answers submitted, and timing, used to compute the reports you see.
  • Participant names/nicknames entered when joining a session by code or QR (no account required to participate).
  • Standard technical logs (IP address, browser user agent, timestamps) for security and debugging.

2. How we use it

  • To operate the product: running live sessions, computing scores and reports, sending invite/verification emails.
  • To process payments for paid plans (handled by Stripe; we never see or store your card number).
  • To respond to support requests you send us.
  • To understand aggregate product usage via privacy-respecting analytics (see "Analytics" below). We never build advertising profiles, and we don't sell your data.

3. Sub-processors

Third parties that process data on our behalf, strictly to run the service:

  • Stripe: payment processing for paid subscription plans.
  • Amazon Web Services: hosting infrastructure, file storage (uploaded images/documents), and transactional email delivery.
  • Umami (when enabled): aggregate, cookie-free product analytics. See "Analytics" below.

4. Analytics & cookies

We use a required httpOnly session cookie on the API host to keep you signed in. It isn't readable by scripts and isn't used for tracking. The web app also sets two same-origin, non-tracking cookies: session_hint (so we can send you to sign in before loading facilitator pages) and org_branding (your organization's public name, logo, and color, so chrome doesn't flash the Faciligo defaults after a reload). If product analytics is enabled, it runs on Umami, which by default does not use cookies or collect personally identifiable information. It reports aggregate counts (page views, feature usage) only.

5. Data retention

We keep your data for as long as your account or organization is active. If you delete your own account, your personal profile is removed; any content you authored is reassigned to another admin in your organization so your team's library and session history stay intact. Deleting an entire organization permanently removes all of its content, sessions, and member accounts.

6. Your rights

You can export your organization's data at any time from Branding settings, and delete your own account from My account. For any other request (correction, a full data export, or deletion beyond what self-service covers), contact us at support@faciligo.com.au.
